Running a stocktake

stockrr pulls a live snapshot of your Shopify catalog, lets your team count physical inventory in parallel from their phones, and shows you discrepancies to review before anything changes in Shopify.

Before you start

Every Shopify variant you want counted needs a Barcode set (not SKU) — variants without one are skipped during import and listed at the end.

Decide which Shopify location you're counting — a stocktake covers exactly one.

Round up whoever's scanning. They just need a phone or tablet browser — no app to install. A plugged-in or paired barcode scanner works too (it just types into the field), or manual entry.

Starting a new stocktake closes whatever session is currently active — anyone still counting on it gets disconnected. Make sure the previous one's wrapped up first.

The flow

Step 1

Start the import

From the dashboard, click Start New Stocktake from Shopify — pick a location, name the session, set a staff PIN. It pages through the catalog in the background; safe to reload if you need to.

Step 2

Staff join & scan

Send staff to /count on their own device. They enter their name and the PIN, then scan or type each ISBN — barcode scanner, camera, or manual entry all work. Price gets confirmed per item.

Monitor live

Keep /dashboard open on a laptop. Overview, per-staff progress, and the full activity log update every few seconds while staff scan.

Review & export

Once counting's done, use the Review tab to approve discrepancies and export reconciliation/scan-log CSVs. Pushing corrections back to Shopify isn't wired up yet — approving just records the decision.

Safe to reload

An in-progress import resumes automatically from where it left off — no progress is lost if a tab closes or the page reloads.

Unlisted scans

Anything scanned that isn't in the catalog snapshot still gets counted, just flagged "Unlisted" for review.

Push to Shopify

Still a placeholder — approving an item just records that it would have been sent, nothing changes in Shopify yet.
